It explains how Theta Integrated (the "Company," "we," "our," or "us") collects, uses, shares, and protects your personal information when you visit https://theta-integrated.com/ (the "Site"), submit an application, schedule a call, make a purchase, or participate in any program or event we offer, including The ADVANCE retreat (collectively, the "Services").

By using the Site or the Services, you agree to the collection and use of your information as described in this Privacy Policy. If you do not agree, please do not use the Site or the Services. This Privacy Policy is part of, and should be read together with, our Terms and Conditions, available at [https://theta-integrated.com/terms-and-conditions], including the mandatory arbitration and class action waiver provisions contained in those Terms.

1. Scope

This Privacy Policy applies to information we collect through the Site, our application and intake forms, scheduling pages, email and text communications, payment checkout, our private online community, and in person at our events. It does not apply to third-party websites or services that we do not control, even if you reach them through a link on our Site.

In this Privacy Policy, "personal information" means information that identifies you or could reasonably be linked to you.

2. Information We Collect

A. Information You Provide to Us

We collect information you choose to share with us, including:

Contact information, such as your name, email address, phone number, and mailing address.

Application and intake information, such as your responses about where you are in your personal and healing journey, what you want to create, and how you show up in a group setting.

Health information, such as the medical history, current medical status, medications, mental health history, and related information you provide during your application, intake questionnaire, or medical review and consult/foundations call.

Payment information, such as billing details and payment plan information. Card numbers are collected and processed directly by our third-party payment processor; we do not store your full card number.

Event information, such as dietary needs, accommodation preferences, emergency contact details, and travel arrival information.

Communications, including emails, text messages, messages you send through the Site, and notes from calls you schedule with us.

Community content, such as posts, comments, and messages you share in our private online community.

Photos, recordings, and testimonials, such as images from the professional portrait session or feedback you choose to provide. We use these for marketing only with your separate written consent.

B. Information We Collect Automatically

When you visit the Site or open our emails, we and our service providers may automatically collect certain information, including:

Your IP address, browser type, device type, operating system, and approximate location based on your IP address.

Conduct the medical review and determine whether participation is appropriate and safe for you.

Communicate with you about your application, enrollment, scheduled calls, event logistics, and account.

Prevent fraud, protect the safety of our participants and team, enforce our Terms and Conditions, and comply with legal obligations.

Health information. We use health information only to evaluate fit and safety, prepare for and deliver the event, and respond to emergencies. We do not use health information for marketing, and we do not sell or share it for advertising purposes.

4. Cookies and Similar Technologies

Cookies are small data files stored on your device. We use cookies and similar technologies to keep the Site working properly, remember your preferences, understand how the Site is used, and measure the effectiveness of our advertising. These may include:

Essential cookies that allow the Site, forms, and checkout to function.

Analytics cookies, such as those used by Google Analytics, that help us understand Site traffic and usage.

Advertising and social media pixels, such as the Meta Pixel, that help us measure and deliver ads on third-party platforms.

Most browsers let you block or delete cookies through their settings. If you disable cookies, some parts of the Site may not function properly. Because there is no common industry standard for "Do Not Track" signals, the Site does not currently respond to them.

5. Text Messaging

If you provide your mobile number and consent to receive text messages, we will use it to send messages related to your application, scheduled calls, enrollment, payments, and event logistics, and, if you opt in, updates about our programs. Message and data rates may apply, and message frequency varies. You can opt out at any time by replying STOP, or reply HELP for assistance.

We do not sell, rent, or share your mobile phone number or text messaging consent with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers that help us deliver our messages.

6. How We Share Your Information

We do not sell your personal information. We share it only as described below:

Service providers. We share information with companies that help us operate our business, such as our website, CRM, and scheduling platform (GoHighLevel), payment processor (Stripe), email and text messaging providers, community platform, video conferencing tools, and analytics providers. These providers may use your information only to perform services for us.

Event team and venue. We share necessary information with our facilitators, team members, and event venue so they can deliver the event safely. Health information is shared only with those team members who need it to support your safety and participation.

Emergency responders. In a medical or safety emergency, we may share relevant information with emergency medical personnel and your designated emergency contact.

Advertising platforms. Social media and advertising platforms may receive information about your use of the Site through cookies and pixels, as described in Section 4. We never share health information with advertising platforms.

Legal and safety reasons. We may disclose information if required by law, subpoena, or court order, or when we believe disclosure is necessary to protect the rights, property, or safety of the Company, our participants, or others.

Business transfers. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.

With your consent. We may share information for other purposes with your consent, such as publishing a testimonial you have approved.

7. Your Choices

Marketing emails. You can unsubscribe at any time using the link at the bottom of any marketing email.

Text messages. You can opt out by replying STOP.

Updating your information. You can ask us to correct or update your information by emailing [email protected].

Analytics. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

Interest-based ads. You can adjust your ad preferences directly on social media platforms and through industry opt-out tools such as the Digital Advertising Alliance (optout.aboutads.info).

Opting out of marketing communications will not stop messages that are necessary to deliver a Service you have purchased, such as payment receipts and event logistics.

8. Your Privacy Rights

Depending on where you live, you may have rights regarding your personal information, which may include the right to:

Know what personal information we have collected about you and how we use and share it.

Access and receive a copy of your personal information.

Correct inaccurate personal information.

Request deletion of your personal information.

Opt out of targeted advertising or the sale or sharing of personal information (we do not sell personal information).

Limit the use of sensitive personal information, such as health information.

Not be discriminated against for exercising any of these rights.

You may use an authorized agent to make a request on your behalf, and we may ask for proof of that authorization. If we deny your request, you may appeal by replying to our response.

Some information may need to be kept even after a deletion request, for example to complete a transaction, keep records of payments and refunds, resolve disputes, or comply with legal obligations.

Visitors outside the United States. The Site and Services are operated in the United States. If you access them from outside the United States, including from the European Economic Area or the United Kingdom, your information will be transferred to and processed in the United States. We keep personal information for as long as needed to provide the Services, maintain records of your participation and payments, comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete it or de-identify it. We keep health information only as long as reasonably necessary for the purposes described in this Privacy Policy.

We use reasonable administrative, technical, and physical safeguards to protect your personal information, and we limit access to health information to team members who need it. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. Please use care when sharing sensitive information by email.

11. Confidentiality in Our Community and Events

Information you choose to share with other participants, whether at an event or in our private online community, may be seen by those participants. While our Terms and Conditions require participants to keep what others share confidential, we cannot control what other individuals do with information you share with them.

12. Third-Party Links

The Site may contain links to third-party websites, platforms, or services. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies.

13. Children's Privacy

The Site and Services are intended for adults 18 years of age and older. We do not knowingly collect personal information from anyone under 18. A STANDARD OF CARE

This field is the wild west. It doesn't have to be.

We hear it on almost every consult call. Someone went somewhere, put themselves in the hands of a person who didn't know what they were doing, and came out saying I didn't feel safe. Sometimes worse.

That should not be the cost of admission for people trying to heal.

So we built the opposite. Medical and psychiatric screening. Medication review before anyone works with us. Clear scope of practice, clear protocols, clear ethics. Facilitators trained in trauma-informed care rather than certified by a weekend. Preparation before, structured support after, and a real container the whole way through.
